Why cloud backup is non-negotiable for small business

Ask anyone who has lost a laptop full of client work the day before a deadline - a backup stops being boring the moment you need one. Hardware fails, devices get stolen, files get deleted by accident, and ransomware does not care how small you are. A proper cloud backup is the cheapest insurance a business can buy.

1. Know what you would actually lose

Client files, financial records, quotes, photos of completed jobs, years of email. Write down what would genuinely hurt to lose, and you will quickly see why a single copy sitting on one laptop is a risk you do not want to run.

2. Follow the 3-2-1 rule

Three copies of your data, on two different types of storage, with one kept off-site. Cloud backup makes the off-site copy effortless - it happens automatically, so there is nothing to remember and no drive to carry home.

3. Microsoft 365 is not a backup

This one surprises people: Microsoft keeps your service running, but it is not responsible for recovering files you delete or that ransomware encrypts. A dedicated backup of your 365 data fills a gap most businesses do not realise they have.

4. Test that you can actually restore

A backup you have never restored from is a hope, not a plan. Periodically checking that files come back cleanly is the difference between a calm recovery and discovering, at the worst possible moment, that the backup was broken all along.

Backup is one of those things that feels unnecessary right up until the day it is the only thing that matters. Set it up once, automate it, test it occasionally, and you can stop worrying about the failures you cannot predict.
