Custom software or off-the-shelf? How to decide

Every business faces this question eventually: do we keep bending our process around an off-the-shelf tool, or build something that fits us exactly? Custom software is not automatically better - and it is not automatically expensive - but knowing when to make the jump saves a lot of wasted money in both directions.

1. Start with off-the-shelf

For most jobs, a well-chosen existing tool is faster, cheaper and better supported than anything custom. If a product does what you need at a fair price, use it. Building your own version of something that already exists is rarely a good use of money.

2. Notice when it stops fitting

The warning signs are familiar: your team runs a spreadsheet on the side to fill gaps the software leaves, you pay per seat for features nobody touches, or a simple task takes ten clicks it should not. That friction is a real cost, even if it is not on an invoice.

3. The case for building

Custom is worth it when your process is a genuine advantage and no product matches it, when you are paying more to work around a tool than it would cost to replace, or when you need systems to talk to each other in a way off-the-shelf simply will not. Then software that fits pays for itself.

4. Consider the middle path

It is rarely all or nothing. Often the smartest move is to keep the tools you have and connect or automate them - a small custom layer that removes the friction without the cost and risk of rebuilding everything. Start there before committing to a full build.

Off-the-shelf until it hurts, then build only what genuinely needs building - that is the sensible order. The trick is being honest about when a tool has started costing you more than it saves. If you are at that point and not sure which way to jump, it is worth a conversation.
